Artwork and Proof Approval
What to supply, what we check and what approval means.

Supplying artwork
Accepted production-artwork formats are PDF and Adobe Illustrator (AI). Supply artwork at the size and quality requested on the product page or quotation. Where practical, convert fonts to outlines and include linked images.
Uploading artwork does not transfer ownership to SignHQ. You grant us permission to use and adapt it only as reasonably necessary to quote, prepare and manufacture the order.
Artwork checks
Our standard check looks for obvious production problems, such as missing files, visibly inadequate resolution, incompatible dimensions or artwork that cannot be manufactured using the chosen process.
Unless separately agreed, it does not include proofreading, copywriting, logo recreation, exact colour matching, font-licensing checks, structural engineering or verification of intellectual-property ownership.
Proof approval
Where we supply a proof, check all wording, spelling, punctuation, contact details, dimensions, scale, quantities, layout, orientation, colours, materials, finish, fixing locations and joins.
Approval authorises manufacture. Production time begins after final approval. Later changes may cost extra and require a revised dispatch estimate.
Colour and appearance
Screens, office printers, backlit film, vinyl, paint and sheet materials reproduce colour differently. A digital proof is primarily for layout and content, not an exact colour match. Where colour is critical, provide a recognised material, RAL or Pantone reference or request a physical sample. We will confirm availability and cost.
Fonts and supplied rights
You confirm you have permission to use supplied logos, images, typefaces and designs. If a premium font is not licensed for the required use, we may request outlined artwork, propose an alternative or quote for additional design work.
Production files and retention
Manufacturing files, tool paths, nesting layouts, templates and working files created by SignHQ remain our production assets unless transfer is expressly included in the quotation. We normally retain production artwork and proof records for six years after the order or last relevant transaction.
